2026.9.12 a follow-up email from your own template, and a text that failed says so

AI Scribe can now write a document such as the patient's follow-up email from a template your clinic wrote, and can do it after the note is signed. Several screens now say plainly when something didn't happen. A text the carrier refused shows as failed instead of looking sent. The Day-5 summary says whether the patient was told their results are ready, and if not, why.

AI Scribe: documents from your clinic's own templates

A template can now be marked Use for a document, not a visit note. A template marked this way is for something written beside the note, such as a follow-up email or a letter to the patient. It carries a Document mark on the templates page and is never offered for a visit note.

On the Documents tab, your clinic's document templates appear as choices under Or write from a clinic template:. Picking one sends nothing on its own. Leave the request blank, or add anything extra you want, then send. The document follows the template and nothing more. It doesn't add headings or a summary the template doesn't ask for. A line that asks for something the visit never mentioned is dropped, so the patient doesn't get a sentence about a lawyer nobody named. The exception is the patient's or clinician's own name, which stays in brackets for you to fill.

Documents can now be written after the note is signed. The Documents tab stays open after signing. The signed note itself stays locked as before. See AI Scribe.

AI Scribe: a recovered recording becomes a note

When a recording was interrupted before Stop was pressed (a crashed browser, a computer that shut down), the patient's chart offers Recover it. Recovering saved the audio, but nothing then finished the recording, so no note was written and the audio was deleted a day later. A recovered recording is now finished and the note is written, and it appears in the review queue like any other. The last few seconds may be missing.

If the same recording is still open in another tab of the browser, perhaps paused, the chart says so and offers nothing to recover. Stop it in that tab and the note is written. See AI Scribe.

A text that couldn't be sent shows as failed

When a staff member sent a text that the carrier refused outright (for example to a number that had opted out), the portal treated it as sent, and it never appeared in the conversation. It now appears in the thread marked Failed to deliver, and it shows up in the worklist with other delivery failures. See whether a message actually arrived.

Day-5 summary: was the patient texted?

If your clinic sends the optional text telling a patient their update is ready, the Day-5 Summary tab now says what happened to it. A line under a released summary reads, for example, Patient texted that results are ready, or that the text is held until clinic hours open, or that it failed. When the patient was not texted, the line says why and what to fix, for example no SMS consent on file. Add it on the Consents tab. Before this the only record was in the system's logs. See the Day-5 embryology update.

  • A patient who texts only an email address or phone number, usually answering something your team asked, is no longer read as asking for health information by text. The assistant doesn't ask for their consent, and the message goes to a coordinator.
  • A message that asks for nothing, such as a one-word typo correction, thanks or ok, no longer prompts the consent request either.

See patient messaging.

Smaller things

  • Phone: when a caller answers "Is there anything else I can help you with?" with no, the assistant says goodbye and ends the call. It used to ask again or repeat the callback line.
  • Accounts: creating an account and resetting a password work again. Both had been failing with an authorisation error.
  • Staff copilot: an error had made every question skip the step that decides how to answer it, so each one fell back to a plain document search. Questions are handled as designed again, and answer a little faster.
