2026.9.1 email becomes a real conversation channel

Your team could already read an email a patient sent. Now they can start one (from New message, to a patient or a prospect) and the reply comes back to that person's record rather than to a mailbox somebody has to remember to check.

Starting an email conversation

Pick a person in New message, choose Email, and write. The message goes out from the clinic, and the reply threads back into Conversations against the person you chose.

Two things had to be true for that to work, and both are now handled for you:

  • Somewhere for the reply to arrive. A patient or prospect with no portal account is enrolled automatically as part of sending. If the address already belongs to somebody else's account, the send is refused rather than guessed at, see enrolling a patient so email can reach them.
  • Permission to write. An email the clinic starts needs consent to receive health information by email. A reply to an email the patient sent does not.

The conversation lands on the right person

This is the fix behind the feature, and it is worth being plain about.

Before this release, an email conversation was filed against whoever the recipient's login resolved to, not against the person the coordinator picked. When one address served more than one record, the exchange appeared on the wrong record, and the intended one read "No conversation history yet."

An email conversation is now keyed to the person you chose. It appears on their record, and their reply joins the same conversation instead of starting a second one.

The assistant stays out of a conversation you have claimed

Claiming a conversation pauses the assistant. That rule already existed; this release makes it true everywhere.

  • Email conversations that were never filed against a person had nothing for that rule to check, so the assistant treated them as unclaimed. Fixed.
  • Text messages arriving on the immediate delivery path were checked by a different code path than queued ones, and only the queued one enforced the rule. Both do now.
  • Where the assistant genuinely cannot tell whether somebody has claimed a conversation, it writes a draft and waits instead of sending. Nothing reaches a patient without a person.

One related correction: a patient answering a question the clinic asked them is no longer misread as withdrawing consent to be texted.

Consent to receive health information by email could be recorded, but not seen or taken back, the consent panel listed only text and voice. Email is now a row of its own on a patient's or prospect's Consents tab, with the same Grant and Revoke controls. Withdrawing consent should never be harder than giving it.

Delivery you can trust the look of

A sent message now says when delivery has not been confirmed, instead of looking identical to one that arrived. Text messages carry a carrier delivery report; portal and email messages have none to wait for, so no label appears on those.

Prospects

  • A record moved out of Intake by mistake can be moved back.
  • The list header stays pinned while you scroll, so column names stay readable.
  • Priority is one control instead of a badge next to a separate menu, and the columns are wide enough to read without resizing.

AI Scribe

  • Addenda. A signed note can be added to without unsigning it.
  • Transcript confidence is reported alongside the note, so a difficult recording is visible as one rather than inferred from the result.
  • Each measurement carries its previous value from the same cycle, so a reading is read in context.

Also in this release

  • Registration asks for an email address, not an email address and a separate username.
  • The Take tour button works after a tour has been skipped, and the what's-new card renders its text and artwork correctly.
  • Referral intake's image pipeline runs on all supported hardware again.
