2026.10.2 patient billing in early access, and replacing a knowledge document
Highlights
- Billing: patient invoices, payments and ledgers, in early access and switched on clinic by clinic, replacing the old subscription Billing screens.
Billing now means billing your patients: invoices built from a treatment plan, payments, and a ledger for each patient with a running balance. It is in early access and switched on clinic by clinic. Separately, uploading a new version of a knowledge base document under the same file name now properly replaces the old one.
Billing: invoices, payments and patient ledgers (early access)
Where it is switched on, Billing in the sidebar has three pages:
- Invoices: turn a patient's treatment plan into an invoice, choose which items to include and which payment options the patient is offered, save it as a draft and send it. The page shows what is outstanding, what is overdue, what has been collected and which drafts are waiting for review.
- Payments: every payment received, and whether it was matched to an invoice automatically, at the desk, or after a team member confirmed it. A bank transfer that arrives without an invoice reference is held for review with a suggested invoice to confirm.
- Patient ledgers: each patient's invoices and payments in date order, with what they currently owe.
Billing is in early access, and some parts are not live yet:
- Online payments run in test mode: no money moves until a payment account is connected for your clinic.
- Reminder dates are calculated and shown, but reminder emails and texts are not sent yet.
- Treatment plans arrive through your clinic's import; a live connection to your EMR is not in place yet.
If you would like to try it, ask your Fertiligent contact.
The old subscription screens are gone
The Plans page and the Billing tab in settings, which were about your clinic's own Fertiligent subscription, have been removed. To change your plan, update the card on file or cancel, contact Fertiligent support. On Home, the Online Payments tile now appears only for clinics with Billing switched on.
Replacing a knowledge base document
To update a document in your knowledge base, upload the new version under the same file name. It replaces the old document and goes back to Draft; activate it to put the new version in front of patients.
Until now this did not work: the replacement never finished processing, and the old text kept answering. If you replaced a document recently and it seemed stuck, upload it again and activate it.
