2026.10.0 count referrals by the date on the letter, and by who referred them
Highlights
- Referral report: count referrals by the date on the referral letter, and filter by referring physician or assigned physician.
- Patient portal: a patient message the assistant hands to a coordinator now shows as Escalated on the thread.
The Referral funnel report can now count referrals by the date written on the referral letter rather than the day it arrived. It can also be filtered by the physician who referred the patient or the one they were assigned to. Its date ranges now run on your clinic's own calendar days, so some totals will move. A portal message the assistant passes to a coordinator in silence now shows as Escalated in your team's list.
Referral funnel: count by the date on the letter
The Referral funnel report has a new Count by choice:
- Date received, the day the referral reached you. This is the default, and it is what the report has always counted.
- Date on referral letter, the date the referring office wrote on the letter. A referral whose letter carries no date can't be placed in a period, so it is left out. The report says how many: 2 referrals have no date on the letter and aren't counted.
Filter by referring physician or assigned physician
The report used to filter only by the physician the letter was addressed to. There are now three filters:
- Physician on letter, the existing filter under a clearer name.
- Referring physician, the doctor who sent the referral.
- Assigned physician, the physician your team assigned the patient to after review.
Names are matched ignoring capitals, and the How they got to us and Routed to panels group the same way, so a row in a panel matches what its filter selects.
Totals now follow your clinic's calendar days
A period you pick now runs from midnight to midnight in your clinic's own time zone. It used to run from 20:00 to 20:00, and a date picked in the From/To boxes was sent as the day before. Totals for the same period may differ from a figure you took earlier. The new figure is the right one.
The export
Download CSV changes in ways a saved spreadsheet will notice:
- The column Referral date is now Received date. It always held the day the referral arrived; the old name suggested the letter's date.
- New columns: Date of referral (the letter's date), Assigned physician and Referring physician billing number.
- The summary at the top says which date the report counted by and how many referrals were left out.
If you built a spreadsheet or a formula on the old column name, update it.
A withheld portal message shows as Escalated
With approved replies set to Strict, a portal message the approved wording doesn't cover gets no reply and goes to a coordinator. The thread in your team's message list did not show that, so a message waiting on a person looked like one nobody needed to touch. It now shows Escalated. See when the assistant should say nothing.
Smaller things
- An open prospect record no longer keeps checking for its referral in the background. One record left open had sent thousands of requests in a few minutes. The Open referral link works as before.
