Clinic onboarding checklist
A start-to-finish path for a clinic administrator standing up Fertiligent — from your first sign-in to go-live. Work through it in order; each step links to the detailed guide.
Who this is for
This is the administrator's setup path. Day-to-day operators (intake coordinators, nurses, front desk) can jump straight to the clinic staff guides.
Day 1 — stand up your space
- Claim your clinic. Register your tenant (or have your Fertiligent contact set it up) and confirm the first administrator account. → Setting up your clinic
- Add your branding. Set your name, logo, and icons so the portal and the patient-facing surfaces look like your clinic. → Branding
- Invite staff and assign roles. Give each person the narrowest role that covers their work. → Staff roles & permissions
First week — turn on intake
- Learn how intake works. See how every channel feeds one prospect funnel before you configure the pieces. → How intake works
- Connect referrals and your EMR. → EMR integration
- Set intake nurse availability. Configure the appointment type, the nurse queue, and the hours it's bookable. → Intake nurse availability
- Configure prospects and outreach. Turn on the funnel and set the automated outreach cadence and channels. → Prospects & outreach setup

Before go-live
- Review what the assistant will and won't say. Make sure you're comfortable with the boundaries. → What the assistant can and can't do and Consent & patient privacy
- Curate the knowledge base. The assistant answers only from the materials you approve. → Knowledge base
- Confirm controlled-rollout items with your Fertiligent contact — real patient SMS, outbound calling, and pilot enablement are switched on in a controlled way.
- Do a test run. Send a test referral and place a test call to see the end-to-end flow before real patients arrive.
After go-live
- Watch the referrals inbox and prospect funnel for the first cohort. → Referrals workflow
